JustRace Events — Privacy Policy

1. Introduction
This policy sets out how JustRace Events collects, uses, stores and safeguards personal data when you visit our website, register for one of our events, or otherwise contact us. It applies to website visitors, event participants, customers and anyone else who interacts with us.
JustRace Events is the data controller for the information described below. We don't have a dedicated Data Protection Officer, but we handle personal data lawfully, fairly and transparently, in accordance with the GDPR and Irish data protection legislation.

2. Information We Collect
Depending on how you interact with us, we may collect:
Contact and identity details — name, date of birth, address, email and phone number.
Race entry details — the event, distance, club/team affiliation, t-shirt size and target finish time.
Emergency contact — name and phone number of a person you nominate.
Medical and accessibility information — any condition, injury or access requirement you disclose so we can run the event safely. This is special category data under GDPR (see section 4).
Payment details — entry fees are handled by our payment processor; we do not retain full card numbers.
Photos and video — images and footage captured on race day (see section 9).
Website usage data — collected via cookies and similar tools (see section 8).
Correspondence — emails, support queries and survey responses.
3. How We Use Your Information
We process personal data only where we have a lawful basis to do so:
Registering and administering your entry, issuing race numbers and results — performance of our contract with you.
Keeping runners safe on the day, including acting on medical or emergency details — contractual necessity, your explicit consent, or protection of vital interests.
Taking payment for entries — contractual necessity.
Handling enquiries and support — our legitimate interest in supporting participants.
Sending marketing about upcoming races — your consent, withdrawable at any time (section 7).
Improving our website and events — our legitimate interest in running better races.
Meeting legal, tax and regulatory obligations.
4. Medical and Special Category Data
Where you give us medical or health information as part of your entry, we handle it carefully: it's collected solely to protect your safety and that of other participants, access is limited to organisers and medical staff who need it on the day, and it's deleted once the event has concluded. This relies on your explicit consent, or, in an emergency, protection of vital interests.
5. Retention
Entry and participant data is kept for the event and a reasonable period afterwards for results and follow-up queries.
Medical and emergency contact details are deleted shortly after the event.
Financial records are kept as long as Irish tax law requires.
Marketing details are kept until you unsubscribe.
Data no longer needed is securely deleted or anonymised.
6. Storage and Security
Personal data is held on secure servers in Ireland. Where any provider transfers data outside the EEA, we ensure equivalent safeguards are in place.
Data is encrypted in transit and at rest, and we work with providers (payment processors, timing partners, email platforms) under written data processing agreements. We never sell personal data or use it beyond what's described here.
7. Marketing
We only send marketing emails where you've opted in, or where the law otherwise allows it. Every marketing email has an unsubscribe link, and you can also opt out by emailing us directly. Opting out of marketing doesn't affect entry confirmations or other essential event communications.
8. Cookies
Our site uses cookies to function, understand usage, and improve the experience. On your first visit you'll see a banner letting you accept all, reject non-essential, or choose by category:
Essential — required for the site to work; no consent needed.
Performance/analytics — help us understand site usage.
Functional — remember your preferences.
Advertising — used for ad relevance and measurement.
You can update your choices anytime via the banner or your browser settings.
9. Photography and Video
We capture photos and video at events for promotional use on our website and social channels. If you'd rather not appear in this imagery, contact us at events@justraceevents.com and we'll do our best to accommodate you.
10. Children
For events open to under-18s, entries must be completed by a parent or guardian, who provides consent and any required details on the child's behalf. We only collect what's needed to register and run the event safely.
11. Your Rights
Under GDPR you can:
Access the data we hold about you.
Have inaccurate data corrected.
Ask us to delete data no longer needed.
Restrict processing in certain circumstances.
Receive your data in a portable format.
Object to processing, including marketing.
Withdraw consent at any time.
Complain to the supervisory authority.

13. Entry Fees and Refunds
All entry fees are non-refundable. This applies regardless of the reason for withdrawal, including illness, injury, or inability to attend. Where an event is cancelled, postponed or altered by JustRace Events, any options available (such as deferral to a future event) will be communicated directly to registered participants. This section relates to our terms of entry rather than data protection, but is included here for visibility.
14. Changes to This Policy
We may update this policy as our practices or legal obligations change. Updates will be posted on our website, with direct notice given for significant changes.
